Using Waiting List as Expression of Interest

Using Waiting List as Expression of Interest

Introduction

You may want to gain an expressions of interest for an upcoming event or product before it goes on sale so that you can directly email these people when the product does go on sale.

Note: caution must be used if you are using the traditional waiting list and also want an expression of interest. The main sticking point is the labels you will change are universal so they will need to be changed to something generic if a customer wants to use the waiting list and an expression of interest.

Setup

Physical Configuration

The first part of set up is creating a generic physical configuration in a site and space whch can be called Regestering Interest (or whatever you want). It will only need one zone and will be created without map. Finally, the availability for the zone only needs to be set as 1.

Logical Configuration

After the physical config, you need to set up the logical config. You can use any existing seat category.

Event Setup

Once the logical and physical config has been set up, you can then set up everything else for the event. A complimentary tariff can be used in your rates table and the price should be set as 0. We advise using event over competition as you don’t need to add teams however, this will work with competition. This event you are setting up, should be named as the real event as customers will think they are putting the interest for the real event.

One of the most important aspects of setting is making sure your event is waiting list enabled which you will find in parameters of the event setup:

Sales Channel Point of Sale Setting

Another important setting is the point of sale setting for wait lists. In your Internet Parameters in the point of sale for your sales channel, set the follwoing to No:

Activating Expression of Interest

To activate the expression of interest, you need to ‘sell’ your one available quota. Add your event to a separate activity profile that is linked only to back office first. Sell the one available quota to yourself (important that this is free product). Once it has been sold, you can add in the online ticket shop to your activity profile.

You will then need to go to your sales channel and create a cluster and section for your expression of interest so this appears on your content page.

Labels & CSS

You can leave the labels as they are however, they will mention wait list specifically and not expression of interest. If you are using the standard wait list as well, you will want to change to something genric or that includes both. Below are the label keys and the standard value that you will want to change:

Key

Default Value

Key

gravity.Product.subscribe

label.account.waitinglist.alreadyAdded

You''ve already subscribed to availability alerts for {0}.

label.account.waitinglist.title

label.login.action.waitinglist.infoMessage

label.login.title.waitingList

Email alert subscription

You can also hide certain aspects through css changes if you don’t want specific things to show through the journey. Please speak to your CSM or onboarder if you need help with this.

Email to Customers

The final part of setup is to create an email that you want to send to customers. This can be very simple telling customers that your product is now on sale and they can head to the ticket shop to purchase.

The email that you need to create is:

The design editor is not available for this so you will need to create an email through an html editor and upload the html to the document type.

Example Online Journey

The expression of interest is available on the content page in its own section:

Customer clicks the register interest and is asked to log in. In this example, we have changed the label login action to include a message about signing up first:

Once logging in, the customer will get a confirmation email or a messge saying they have already registered for this product:

Contacting Expression of Interest Customers

Once your customers have expressed their interest, you can contect them through the waiting list feature.

You have filters that allow you to pick the specific event you want to see information on:

Once you have found the event you want, you click search and it will display everyone who has expressed an interest. You can then remove people from he list or send them an email. Simply select the contacts and click the action you want:
